It may contain news, articles, resources, organizational updates, recommendations or commercial content under a recognizable editorial approach and schedule.

The English term combines the words “news” and “letter”. A newsletter is not the same as a newspaper: it is delivered directly to subscribers and may be short, specialized and digital, whereas a newspaper follows a different editorial and distribution format.

It should also be distinguished from related concepts. Email marketing is the broader discipline of using email to build relationships with an audience; a mailing may be a one-off send; and a newsletter is a recurring publication with its own identity and an expectation of continuity.

How a newsletter works

A newsletter starts with a list of people who have agreed to receive it through an opt-in process. The sender prepares an edition, selects recipients, schedules delivery and analyzes the response. The relationship between sender and subscriber depends on whether the promise made at registration matches the actual content and frequency.

Its schedule may be daily, weekly, fortnightly, monthly or irregular, but it should be understandable to the audience. Each edition comes from an identifiable sender and includes ways to manage preferences or unsubscribe. Effective delivery also depends on domain reputation, list quality and email provider filters.

Types of newsletter

Newsletters differ mainly by their editorial purpose. One organization may run several publications as long as each meets a specific expectation:

Informational: Summarizes news, changes, events or updates from an organization or sector.

Editorial: Publishes analysis, articles or a selection of content in a recognizable voice.

Commercial: Presents products, launches, offers or recommendations related to the sender’s activity.

Curated: Selects and contextualizes links, resources or trends from different sources.

Community or internal: Keeps members, employees, associations or shared-interest groups informed.

Parts of a newsletter

Although the design varies by project, an edition usually combines editorial and technical elements that help readers recognize the message, understand it and act on it:

Sender and subject line: Identify the source and preview the content without being misleading.

Preheader: Extends the subject line in the preview displayed by many email clients.

Header: Brings together the publication’s name, logo and visual identity.

Body: Organizes text, images, links and sections in a readable hierarchy.

Calls to action: Lead to articles, products, forms or other destinations when the edition requires them.

Footer: Contains sender identification, preferences, unsubscribe controls and information that contextualizes the message.

Advantages and limitations

A newsletter can build a direct, recurring relationship with an interested audience. It helps distribute content, bring readers back to a website, communicate updates and segment messages using available data. Unlike a channel governed entirely by an external algorithm, the list is an asset managed by the sender.

Subscription does not guarantee that a message will be read or delivered. Excessive frequency, misleading subject lines, repetitive content or an outdated list may cause unsubscribes and complaints. Image blocking and privacy protections also make some metrics approximate, so they should not be interpreted in isolation.

Newsletter metrics

Performance is evaluated with indicators covering delivery, interaction and results. They should be read in relation to the goal of each edition and the historical development of the list:

Delivery rate: The proportion of messages accepted by destination servers.

Open rate: An estimate of recorded opens that may be affected by privacy systems and automatic image loading.

Click-through rate: The percentage of recipients or delivered messages generating at least one click, depending on the calculation used.

Conversion: Actions completed after a click, such as a purchase, registration or download.

Unsubscribes and complaints: Signals of lost interest, unmet expectations or segmentation problems.

List growth: The balance between new subscriptions, unsubscribes, bounces and removed contacts.

Newsletter creation tools

Newsletter platforms commonly combine an editor, subscriber management, segmentation, automation and analytics. The appropriate choice depends on volume, publishing model, integrations and data-management requirements.

Mailchimp, Brevo and MailerLite are current examples of services for creating and distributing newsletters. Their features and plans change over time, so comparisons should focus on actual publishing, consent, delivery, measurement and data-export needs.

A newsletter is a recurring publication for subscribers.
